This policy explains how ProSim collects, uses, discloses, retains and protects your personal information when you visit prosim.ca or contact us.

What we collect
The information you enter in the contact form and limited technical data needed to keep the site secure.
Why
To answer your request, provide a quote or service, and protect the form from abuse.
What we do not do
We do not sell or rent your information, and the site currently uses no advertising or analytics tools.
1. Who is responsible for your information?
ProSim is responsible for personal information processed in the course of its activities.
For any privacy question or request, contact ProSim at info@prosim.ca or 819 378-0988. Include “Privacy” in the subject line of your email so your request can be directed promptly.
2. Information we collect
We limit collection to what is reasonably necessary for the purposes described in this policy.
- Contact-form information: first and last name, email address, optional phone number and the contents of your message.
- Information you provide during follow-up: details relevant to a quote, project, installation or after-sales service.
- Technical and security information: IP address, date and time, request, device or browser information recorded by our hosting service, and the token, action and risk score generated by Google reCAPTCHA.
- Abuse-prevention data: an irreversible cryptographic hash of the IP address, a count and a time window. The complete IP address is not stored in this register.
- Language preference: an essential cookie may remember the language you selected for the site.
3. How and why we use this information
We collect information directly from you or automatically through systems required to operate and secure the site.
- answer a question or a request for a quote or services;
- prepare a quote and follow up on a project or service;
- deliver your message to the ProSim team;
- detect bots, spam, abusive attempts and security incidents;
- operate, diagnose and improve the reliability of the site;
- meet legal obligations and protect our rights.
4. Consent and choices
By submitting the form, you consent to our use of the information you provide to answer your request and carry out the related follow-up. Where required by law, we will seek separate consent before using it for another purpose.
You may withdraw consent for future use by contacting us. Withdrawal may limit our ability to respond to an open request and does not retroactively affect processing already permitted by law.
5. Service providers and disclosures
We use service providers that process limited information only to help us operate the site and receive your messages:
Google Cloud: site hosting on Cloud Run, technical logging, rate limiting in Firestore and automated abuse detection with reCAPTCHA.
Google Privacy PolicyResend: secure email delivery of the contact-form contents to the ProSim team.

We may also disclose information when required by law, to respond to a valid legal order, or to prevent fraud or harm. We do not sell or rent personal information.
6. Cookies and similar technologies
The site uses only technologies needed for operation and security. A cookie may retain your language choice. Google reCAPTCHA may also use cookies or technical signals to distinguish legitimate users from bots.
We currently use no advertising cookies, commercial profiling, tracking pixels or analytics tools. If that changes, we will update this policy and request any consent required by law.
7. Processing outside Québec
Our providers may process or store information in Canada, the United States or other places where they operate. Information may then be subject to the laws of those jurisdictions. We assess the providers we use and limit the information entrusted to them to what is required for their services.
8. Retention
We keep inquiries and correspondence for as long as needed to respond and follow up, generally no more than 24 months after our last exchange. Information connected with a quote, contract, invoice or service may be retained longer where required by law or our business obligations.
Rate-limit records expire after approximately 24 hours. Technical logs are generally kept for no more than 30 days unless needed longer to investigate an incident. At the end of the applicable period, information is securely destroyed or anonymized.
9. Security safeguards
We use administrative, technical and physical safeguards proportionate to the sensitivity of the information, including encryption in transit, restricted access, secret management in Google Cloud, automated bot detection and submission limits. No transmission or storage method is completely secure, however.
10. Your rights
Subject to legal exceptions, you may request access to, correction or deletion of your personal information, withdraw consent, or ask for information about how it is handled. We may need to verify your identity before responding.
We will respond within the time required by law and explain in writing any applicable refusal and the recourses available to you.
11. Children's information
The site and contact form are intended for a general audience and are not directed to children under 14. We do not knowingly collect their personal information without the consent required by law.
12. Changes to this policy
We may update this policy when our practices or legal requirements change. The date at the top identifies the latest version. We will provide appropriate notice on the site of any material change.

Describe your request and provide enough contact information for us to respond. Do not send identity documents by email unless we ask you to use a secure method.
